I. PURPOSE
The purpose of this policy is to clarify the basis for assignment of an In Progress (“IP”) grade, provide clarification on notification of same to students, and detail which courses are approved to issue an IP grade.
II. SCOPE
This policy applies to students enrolled in the School of Health Sciences and Practice (“SHSP”) and/or Graduate School of Biomedical Sciences (“GSBMS”).
III. POLICY
It is the policy of New York Medical College (“NYMC”) to permit students, with the appropriate approvals, to complete coursework for a particular course beyond the end of an academic term. An IP grade is issued for courses that, by design, extend across multiple academic terms, requiring more than one (1) term to complete. An IP grade is temporary, serving as a placeholder on student’s transcripts.
Approval of courses eligible to issue an IP grade is determined by the relevant academic oversight body:
- GSBMS: Academic Standards Committee;
- SHSP: Academic Policy Committee.
The following is a list of official courses that have been approved to issue an IP grade:

When the required coursework is completed, the appropriate grade will replace the IP grade. If the student does not complete the course before the Time Limit, the IP grade will convert automatically to a Failure (“F”).
IV. DEFINITIONS
1) GRADS refers to the Graduate School of Biomedical Sciences & School of Health Sciences & Practice.
2) Time Limit refers to the length of time allotted to complete course requirements after the end of the term in which the student registered for a course and was issued an IP grade.
V. PROCEDURE
1) For courses approved to issue IP grades, instructors should assign a grade of IP for the work that is expected to be completed after the end of the term in which the student registered for the course.
2) When the student has completed all course requirements for a course with an IP grade, the course instructor must submit a Grade Change form to the Registrar’s Office.
3) Registrar will process the grade change by replacing the IP grade with the new grade in the student information system, allowing only the new grade to show on the student’s transcript.
4) It is the responsibility of the student to be aware of the course deadlines and use the TouroOne portal tools to review temporary and final grades assigned to courses. It is the responsibility of the student to ensure that approval of any extensions of the course Time Limit is on file with the Registrar’s office.
5) The student may request from the course instructor an extension of the course Time Limit, not to exceed one (1) additional term. Course instructors approving extensions must submit an Extension of Incomplete (INC) or In Progress (IP) form to the Registrar’s Office prior to the grade changing automatically to F.
6) Any extension of the course Time Limit in excess of one (1) additional term must be approved in writing by the Department Chair or Vice Dean and forwarded to the Registrar’s office prior to the approved extension of the course Time Limit.
7) Once the Time Limit for an IP grade has expired, absent prior approved extensions on file with the Registrar’s Office, an IP grade will automatically change to an F.
8) If a student’s status is converted to “inactive,” any IP grade(s) on their transcript automatically converts to F. If a student’s status is changed back to active at a later date, failed courses with grade of F cannot be amended. To earn credit for a failed course, a student must repeat the course in its entirety and receive a passing grade.
VI. EFFECTIVE DATE
This policy shall be effective immediately.
